Under the close supervision of the Director of FSY, the Community Coordinator (CC) primarily supervises the FSY counselors, provides administrative support the ensure the success of the program, and triages student issues as they develop. This position entails balancing the competing demands (college administrators, students, counselors, parents, etc.) with the time and resources of FSY to ensure a successful program for all participants. As a summer program, the Community Coordinator (CC) will also work alongside and closely with the Yale Summer Session (YSS) Residential Director (RD) team, one of whom will be the primary liaison for the FSY Program, and the entire team of which is supervised by the Head of Summer Colleges (HoSC).

Responsibilities
  1. Expectations and Communication: Communicates and models the expectations of appropriate behavior for Counselors and students and serves in a leadership capacity supervising program activities. While the YSS residential staff are principally responsible for ensuring all Yale University and YSS policies and procedures are communicated and followed, the CC supports these activities and leads similar work as it relates to the FSY Program. This includes engaging in effective teamwork and respectful communication with all members of the program, YSS, campus, and other community members.
  2. Relationship and Community Building: Physically present and highly visible throughout the program. Develops rapport and are considered accessible and approachable by Counselors and students. To do this, CCs hold regular office hours, check-ins with Counselors, attend FSY’s social events, and frequently eats meals in in the dining hall to engage with FSY students.
  3. Program Planning: Involved in program planning and offers administrative support prior to the arrival of FSY residential staff and students and throughout the duration of the program. During Spring, the CCs attend an FSY summer staff meeting and may be asked to participate in a Bulldog Days event or information session for admitted students.
  4. Supervision and Coverage: Supervises counselors and ensures duties are completed. Organizes and oversees Counselor scheduling as it relates to the FSY Program and works together with the FSY RD to ensure these do not conflict with residential college assignments (butteries, morning rounds, etc.).
  5. Training and Check-ins: Provides leadership in the planning and implementation of training sessions for FSY counselors. Together with FSY program staff, the CCs also participate in leading the weekly counselor meetings. The CCs are responsible for planning at least one “bonding” activity for the FSY summer team. The FSY CCs also meet regularly – generally twice per week – with FSY program staff. If an end-of-summer staff event is held, all CCs are expected to attend. Each CC is expected to meet one-on-one with each counselor in the program at least once.
  6. Student Assignments: In collaboration with the Director of FSY and Program Coordinator, CCs provide assistance with assigning students to housing, placing them in Counselor groups, Slate data entry, Canvas updates, assigning NYC trip groups, various presentations throughout FSY, and other program needs as requested.
  7. Move-In/Move-Out: All CCs must be in residence during move-in and move-out periods. The FSY Program Coordinator will oversee the move-in process for all FSY students with operational support from both the FSY RD and the CCs.  At the end of the summer, the CCs are responsible for packing up and recording all program inventory and providing a photo and list of inventory to the FSY RD for the TR&S pickup. The CCs ensure that all loaner laptops are returned to the STC and return p-cards to the YSS office.
  8. NYC Trip: Works closely with FSY Program Coordinator to oversee the planning of the NYC trip including, but not limited to, Counselor pairing and proposals, approval of trip proposals in collaboration with the Director of FSY, dinner reservations, ticket purchases and distribution, and scheduling buses. Attends NYC trip and joins one of the groups in their activity.
  9. Other Trips/FSY Events: Provides administrative planning support, attends, and leads all FSY-wide events such as the Outdoor Education Center, Zip-lining, and full cohort activities (referred to as “Fam Time”). CCs attend the alumni lunch, panel, and reception as alumni guests and do not have to work during the event but may be involved in pre-event coordination activities.
  10. Online Summer Initiative Support: Support new online community development events for a small group of students taking ENGL S114E and participating in a few community workshops and social events.
  11. Expenses: FSY CCs are account owners for p-cards issued by the university for program expenses. They are responsible for tracking their cards, monitoring usage, and submitting all receipts within 24 hours of every purchase.
  12. Discipline: Follows up with counselors who are not performing the responsibilities of their jobs. Takes part in disciplinary meetings with students when appropriate.
  13. Partnerships: Meets weekly with FSY RD as well as the YSS RD team and Head of Summer Colleges.  Communicates with YSS staff in a timely, efficient, and professional manner. CCs will rotate who represents FSY in each week’s FSY Advisory Committee.
  14. Evaluations: CCs will provide evaluations of all Counselors at the middle and end of the program.
  15. Communications: The CCs will work with the FSY program staff to oversee social media usage, family newsletter communications, and ensure weekly communications are sent to students with important announcements and information.
  16. Emergency Support: In the case of an emergency, all counselors and students will have a phone number that connects them to the YSS RD team where there will always be one RD on-call. The RD will follow emergency protocol which may involve contacting a CC for additional support which may include contacting or locating a student, contacting other FSY program staff, or other support activities.
  17. Office Hours: The YSS summer office is regularly staffed and serves as the primary location or hub for the residential colleges. CCs and FSY program staff will hold scheduled office hours in a separate space designated for the FSY program and the needs of its counselors and students.
  18. May perform other duties as assigned.

The broad responsibilities of the Community Coordinator position as described above does not mean that every member of the CC team has identical responsibilities. It is the intention that the workload be equally distributed among CCs, but some tasks may be assigned or delegated to one individual based on availability or personal skill area, others may rotate coverage, and others may be collaboratively undertaken. In addition, members of the FSY summer staff may be required to perform duties outside of their normal responsibilities from time to time.

Required Education and Experience

Bachelor’s degree (awarded before FSY begins). Previous residential or supervisory experience strongly preferred as is being a past participant of FSY or self-identification as a first-generation low-income (FGLI) student.

Compensation

FSY Community Coordinators will receive a summer stipend. The minimum stipend for this position is set at $5,500. However, other individual or programmatic factors may be considered where a CC’s stipend may exceed the minimum. The stipend will be paid weekly and is considered taxable income. Please note that compensation may be contingent on other Yale funding you may be receiving.

CCs will also receive free room and board for the 10+ weeks in residence (an approximate value of $8,150).

In the case that an FSY CC is unable to complete the responsibilities of this position and must depart before the position is contractually set to end, compensation will be pro-rated to the amount of time worked.

Additional Information

FSY Community Coordinators move into their summer rooms on Thursday, May 22, 2025, at the same time as the FSY Counselors and YSS staff (no later than 4:00pm). The FSY Community Coordinators must live in the residential college and must be available to work during the entire 10+ weeks, from 9:00am on Friday, May 23 through noon on Sunday, August 3, 2025. FSY CCs are not permitted to leave prior to 11:00am on Sunday, August 3.

Between May 23 and the start of Counselor training, CCs are expected to work standard business hours 9am-5pm, Monday-Friday with evenings and weekends off. Note: FSY Counselors do have residential responsibilities during the weeks prior to the official start of FSY and students’ arrival on campus. These residential responsibilities are overseen by the YSS RD team but may require supervisory support from the CCs.

The FSY CC position is a full-time commitment, and so CCs may not hold other jobs between May 20 – August 3. During the pre-program work period, CCs are expected to live and work on-campus. In the event that a CC has unique circumstances requiring that they work remotely, such requests need to be approved ahead of time by the Director of FSY. Each CC receives the equivalent of one weekend (or two days) off during the FSY program and a schedule will be arranged and shared with members of the CC team.

Please note that Yale student health insurance coverage ends July 31 for graduated students. This position does not provide extended health benefits beyond July 31.
